This document sets out the rules for processing personal data in connection with the website available at quanmedia.pl (the “Website”) and the use of cookies.

The Website is informational in nature and presents the activities of Quanmedia. It allows visitors to contact us via the contact form or by email.

The Website processes the following categories of data:

• data provided by the user via the contact form or email (full name, email address, phone number, company name, message content),
• technical data stored in server logs (IP address, device identifier, browser data, timestamps),
• data on Website usage collected via cookies and analytics tools.

• responding to enquiries, conducting correspondence, preparing quotes and concluding agreements — Article 6(1)(b) and (f) GDPR (legitimate interest in handling enquiries),
• ensuring the security of the Website and monitoring traffic — Article 6(1)(f) GDPR,
• traffic analytics and Website improvement — Article 6(1)(a) GDPR (consent given via the cookie banner),
• establishing, exercising and defending legal claims — Article 6(1)(f) GDPR,
• compliance with legal obligations, in particular accounting and tax — Article 6(1)(c) GDPR.

• contact form data — up to 24 months from the last contact, unless a longer period is required by an agreement or applicable law,
• technical data (logs) — up to 12 months,
• data processed for the performance of an agreement — for the term of the agreement and the limitation period for claims,
• accounting and tax data — for the period required by law.

Data may be shared with:

• hosting and IT infrastructure providers,
• email and communication service providers,
• analytics tool providers,
• legal, accounting and HR service providers,
• postal and courier service providers (where applicable).

All such entities act on the basis of data processing agreements or other instruments provided for in the GDPR.

Data is generally processed within the European Economic Area. Where we use providers outside the EEA, we apply appropriate safeguards, in particular Standard Contractual Clauses (SCCs) approved by the European Commission.

Every data subject has the right to:

• access their data,
• rectify their data,
• erasure (the “right to be forgotten”),
• restrict processing,
• object to processing based on legitimate interest,
• data portability,
• withdraw consent at any time (without affecting the lawfulness of processing carried out before withdrawal),
• lodge a complaint with the President of the Personal Data Protection Office in Poland (uodo.gov.pl).

We apply, among other measures:

• HTTPS/TLS encryption,
• access control based on the principle of minimisation,
• regular backups,
• security monitoring and software updates.

• ensuring the Website operates correctly — strictly necessary cookies (no consent required),
• remembering user preferences (e.g. selected language) — functional cookies,
• anonymous Website usage statistics — analytics cookies (only after consent has been granted).

Consent to non-essential cookies can be withdrawn at any time by changing browser settings or deleting stored cookies. Withdrawal does not affect the lawfulness of processing previously carried out on the basis of consent.
